Write a Resignation Letter

Write a proper resignation letter, and you’ll be able to maintain good relations with your former employer.

A basic resignation letter should state the facts: your role in the company, your intention to resign, and the last day of your work.

When writing a resignation letter, write it on a positive tone regardless of how you feel about leaving the company. Do this by saying something favorable about the company, your colleagues and superiors and mentioning your learnings on the job.

Let’s look at the resignation letter of the great Steve Jobs, the co-founder, chairman and CEO of Apple Inc. In August 2011, Jobs resigned as CEO of Apple and wrote his resignation letter:

To the Apple Board of Directors and the Apple Community:

I have always said if there ever came a day when I could no longer meet my duties and expectations as Apple’s CEO, I would be the first to let you know. Unfortunately, that day has come.

I hereby resign as CEO of Apple. I would like to serve, if the Board sees fit, as Chairman of the Board, director and Apple employee.

As far as my successor goes, I strongly recommend that we execute our succession plan and name Tim Cook as CEO of Apple.

I believe Apple’s brightest and most innovative days are ahead of it. And I look forward to watching and contributing to its success in a new role.

I have made some of the best friends of my life at Apple, and I thank you all for the many years of being able to work alongside you.

Jobs’ resignation letter showed his dedication and sincerity. He expressed his desire to continue serving Apple Inc in a different capacity. Although his reason for leaving is not exactly a pleasant one (his health was deteriorating), Jobs still conveyed his resignation positively.

Some points to remember when writing your resignation letter:

– Make it brief and to the point. You need not be very specific in writing down the reasons for your resignation. Resignation letters are considered official company documents. So browse through sample resignation letters, proofread your letter and make them polite and succinct.

– Leave on good terms. Stay courteous and pleasant. There’s no point in being negative. Leave the company with a clean slate. Offer your assistance for transition.

– Remember that future employers may read or ask about your past resignation letters because it is in your personnel file. You may use your resignation letter to highlight your accomplishments and emphasizing your contributions. However, do this humbly for you do not want to sound arrogant or boastful.

– Write farewell messages to your colleagues, especially if you are leaving on good terms with them. You will see and maybe even work them in the future. The messages need not be extravagant. A simple note or e-mail will be appreciative and shows you have no ill feelings toward anybody in the organization.

Remember that connections are essential in the corporate world. Treat your resignation letter as a way for you to leave the company with a clean reputation. Do not burn bridges and keep your doors open. Prepare a resignation letter keeping in mind that it’s a chance for you to showcase your professionalism and appreciation.
